Refund Policy

REFUND POLICY & CANCELLATION

ZEMSONS Security and Intelligence Services Pvt. Ltd.

ZEMSONS Security and Intelligence Services Pvt. Ltd. follows structured administrative, operational, and financial policies to ensure proper manpower planning and service commitments. By making any payment to the company, the candidate or client confirms that they have read and agreed to the terms outlined below.


1. Payment & Fee Policy

All payments made to ZEMSONS Security and Intelligence Services Pvt. Ltd., including but not limited to:

  • Service fees

  • Registration charges

  • Uniform charges

  • Material / equipment fees

  • Documentation / verification charges

  • Processing fees

are applied toward administrative processing, operational planning, and service-related expenses.

As these costs are incurred immediately upon registration and processing, payments are generally not eligible for cancellation or reversal, except under the specific refund conditions expressly stated in this policy.

Once uniforms, materials, documentation, verification, or manpower resources have been allocated or processed, the associated expenses are considered fully utilized.

Refund considerations, where applicable, shall be governed strictly by this policy.


2. Candidate Withdrawal / Non-Joining After Confirmation

If a candidate receives official confirmation of selection or joining but later refuses or fails to join due to personal reasons or circumstances not attributable to the company, the following conditions shall apply:

  1. Mandatory Waiting Period
    Refund requests shall be considered only after six (6) months from the confirmed joining date.

  2. Refund Limitation
    Only 70% of the eligible service fee may be considered for refund.

  3. Mandatory Deductions
    The refund amount shall be subject to deduction of:

    • Applicable GST

    • Transaction / payment processing charges

    • Administrative & service expenses

  4. Non-Refundable Components
    Uniform, material, documentation, verification, training, or resources already processed or issued shall not be eligible for refund.

  5. Management Approval
    All refund requests shall be subject solely to management discretion.


 

3. Non-Joining Due to Eligibility / Operational Constraints

If a candidate is unable to join due to eligibility limitations or operational circumstances, including but not limited to:

  • Failure to meet required physical standards (e.g., height, fitness, etc.)

  • Insufficient qualifications or documentation

  • Applied location / position becoming unavailable or filled

the following terms shall apply:

  1. Mandatory Waiting Period
    Refund requests shall be considered only after three (3) months from the date of rejection or notification.

  2. Refund Limitation
    Only 70% of the eligible service fee may be considered for refund.

  3. Mandatory Deductions
    Refunds shall be processed after deduction of:

    • Applicable GST

    • Transaction / processing charges

    • Administrative & operational expenses

  4. Non-Refundable Charges
    Uniform, material, documentation, verification, or processing-related charges shall not be eligible for refund.

  5. Binding Acceptance
    By making payment, the candidate acknowledges and accepts these conditions as final and binding.


4. Refund Request Procedure

Refund requests shall be accepted only through a written application on A4-size paper, duly signed by the candidate.

The written application must include:

  • Candidate name and contact details

  • Proof of payment / receipt copy

  • Clear reason for refund request

  • Supporting documents (if applicable)

Eligible refund requests must be submitted by email to:

Requests made verbally, via WhatsApp, telephonically, or through email alone shall not be treated as valid refund requests.

Submission of a refund application does not guarantee approval. All approvals are subject to company policy and management discretion.


5. Force Majeure

ZEMSONS Security and Intelligence Services Pvt. Ltd. shall not be held liable for delays or non-performance caused by circumstances beyond reasonable control, including but not limited to:

  • Natural disasters

  • Government restrictions or legal actions

  • Public emergencies

  • Strikes, conflicts, or unforeseen events


6. Jurisdiction Clause

Any dispute, claim, or legal proceeding arising out of or in connection with services, payments, refunds, or any matter related to ZEMSONS Security and Intelligence Services Pvt. Ltd. shall be subject exclusively to the jurisdiction of the Civil Courts at Ranchi, Jharkhand.
